Training & Technical Assistance Specialist (NCALL)

SUMMARY:  Under the supervision of the NCALL Director, the NCALL Training and Technical Assistance (TTA) Specialist is an LTE, 40-hour per week position that supports NCALL in improving system responses, practices, policies, and services to victims and survivors of abuse in later life. NCALL, a national project of End Domestic Abuse Wisconsin, is committed to creating a world that respects the dignity of older adults and enhances the safety and quality of life of older victims and survivors of abuse. The TTA Specialist is responsible for event organization, project management, administrative support, and the provision of TA. National travel is required.

 

Primary responsibilities

PRIMARY RESPONSIBILITIES:

 

  1. Coordinate virtual and in-person NCALL training events including meetings, trainings, and site visits.

 

  • Develop and monitor detailed event plans and timelines in accordance with grant requirements and budget available.
  • Handle all virtual and in-person event logistics, including:
    1. Prepare Conference Request Forms and Post-Event Conference Request Forms for federal approval;
    2. Arrange training and meeting space (virtual or in-person);
    3. Organize staff travel and lodging;
    4. Draft, review and negotiate event letters of intent and contracts;
    5. Draft, review and negotiate event site Beverage, Equipment and Other (BEO) agreements for scheduled events;
    6. Coordinate event registration process both pre-event and day-of event;
    7. Prepare, review, print, copy, and ship event-related materials;
    8. Attend in-person and virtual training events and ensure smooth execution of events;
    9. Schedule event-related conference calls, webinars, and other event meetings;
    10. Ensure event evaluation and closeout complies with funder requirements.

 

2. Provision of Technical Assistance to Office on Violence Against Women Abuse in Later Life Grantees and Potential Grantees

  • Provide technical assistance on general topics related to abuse in later life and older victims and other grant-related topics to OVW grantees and potential grantees and other entities by phone, e-mail, and other methods, including the NCALL website.
  • Assist in the facilitation of grantee communications and virtual meetings.
  • Monitor general NCALL email inbox and route inquiries to appropriate staff in a timely manner.

 

  1. Provide administrative support for NCALL operations and projects.
    • In collaboration with the assigned NCALL project lead, conduct various administrative functions to support the development and implementation of NCALL’s training events and technical assistance plan.
    • Ensure ongoing accuracy of grantee contact lists on SharePoint and within Outlook.
    • Create and monitor consultant and vendor spreadsheets, consultant and vendor agreements, invoices, activity reports, and related tracking and payment documents to ensure accuracy and timely invoicing.
    • Ensure NCALL administrative files and all cloud-based files are organized and maintained, including: grant files, grant award modifications and funder approval documents; consultant, vendor, and subject matter expert portfolios and files; NCALL meetings, calendars, staff folders, and work plans; NCALL product approvals; and other related files.
    • Support various aspects of the grant compliance process including, but not limited to compiling training and technical assistance data for funder report forms and monitoring the status of and compliance with NCALL’s OVW grants’ requirements, including special conditions and Grant Award Modifications and similar communications and submissions.
    • Update, organize, and maintain the NCALL Video Library, including assisting in the captioning of video content.
    • Complete and submit technical assistance data, timesheets, expense reports, and other assigned work-related documents accurately and in a timely fashion.
    • Assist in the editing and formatting of NCALL materials and resources, as requested.

 

4. Collaborate with NCALL and End Abuse colleagues to advance NCALL and End Abuse missions.

  • Attend required NCALL and End Abuse staff meetings.
  • Work collaboratively with End Abuse staff to ensure that projects incorporate information about abuse in later life, as assigned by the NCALL Director.
  • Complete additional administrative tasks as requested by the NCALL Director.
  • Conduct special projects and programmatic tasks as assigned by the NCALL Director.
  • Work collaboratively with the NCALL team to support the mission and vision of NCALL and End Abuse.
  • Other duties as assigned by the NCALL Director and/or the End Abuse Executive Director.

Qualifications

 

  1. Knowledge of domestic violence and elder abuse preferred;
  2. Highly organized and able to prioritize and multi-task with excellent time management;
  3. Project management experience;
  4. Training or event planning experience;
  5. Experience using virtual learning or distance learning platforms;
  6. Knowledge of accessibility compliance preferred;
  7. Experience using online project management and communication technology preferred;
  8. Proficient in the use of Office365, Zoom, Skype for Business and other cloud-based communications and programs;
  9. Must be reliable, professional, and maintain confidentiality;
  10. Excellent organizational skills, ability to manage concurrent projects;
  11. Self-motivated, strong initiative and a quick learner;
  12. Detail-oriented and have the ability to proofread documents carefully;
  13. Comfortable with working independently and in a team;
  14. Excellent communication skills, both verbal and written;
  15. Provide outstanding service and support in a fast-paced environment;
  16. Ability to remain flexible and adaptable.

 

WORK ENVIRONMENT and PHYSICAL DEMANDS:

 

  • Work performed in an office setting or at a training requires the ability to stand or sit for extended periods of time.
  • Ability to lift office supplies and training materials to ship to event sites as needed, varies from 40 to 75 pounds, on occasion.
  • The person in this position must be able to exchange accurate information over the telephone and/or online via Zoom or some other application.
  • Significant national travel required.

This is an LTE (Limited Term Employee) position. Pending funding available, this position will be eligible to become a permanent, exempt position. The salary for this position starts at $47,000 a year based on experience or $22.60 hourly. This is a Madison based position.
